This is the privacy statement of Swimming Club Torpedo, located in Hilversum, registered in the trade register of the Chamber of Commerce under number 40517116, hereinafter referred to as: the Association.
The Association processes your personal data because you use our services and/or because you have provided this data to us. If you have any questions after reading this statement, please feel free to ask your question by e-mail to secretaris@zvtorpedo.nl.
The personal data is used solely to the extent that such use is compatible with the described purposes of the processing. The Association does not process more data than necessary to achieve those specified purposes.
Personal Data
Below is an overview of the personal data we process:
- Data of persons under 16 years old
- First and last name
- Gender
- Date of birth
- Address details
- Telephone number
- Email address
- KNZB start number
Basis
Purpose and basis on which we process personal data:
- Registering and maintaining contact with members of the Association, including via a newsletter
- Attendance at training/competition swimmer
- Registering membership with the KNZB and applying for a KNZB start permit
- Calculating, recording, and collecting membership fees and contributions or reimbursements for entry fees or club activities
- Registering for (competition) swimming competitions, either organized by the Association itself (certificate swimming) or organized by other swimming clubs or on a personal title with the KNZB
- Organizing swimming competitions, publishing competition results, and passing on results to the KNZB
Retention Period
The Association does not retain personal data longer than strictly necessary to achieve the purposes for which your data is collected. The aforementioned data is retained during the term of the agreement. Upon termination of membership, your data will be deleted within 2 years unless you give permission to retain the data longer for possible newsletters or reunions, until the permission is withdrawn.
Provision of Personal Data to Third Parties
Without your consent, the Association only provides your personal data to third parties if this is necessary for the execution of the agreement that the Association has with you unless the Association is legally obliged to provide your personal data to these third parties.
Access, Correction, and Deletion of Personal Data
You have the right to request the Association to access your personal data (unless the Association is not required to provide such access under the General Data Protection Regulation (GDPR)) and to supplement, delete or shield your data. You must identify yourself with such a request. If you wish for your data to be deleted, the Association will remove it from its systems. For the deletion of your data registered with other organizations, you will need to submit a request to the relevant organizations yourself.
Security of Personal Data
The Association takes appropriate measures to protect your personal data against loss, unauthorized access, publication, and unlawful processing. For example, the Association ensures that only necessary persons have access to your data, that access to the personal data is protected, and that the security measures are regularly checked.
Minors
If you wish to register as a minor, you must provide explicit consent from your parent or guardian.
Website
We use analytical tools to analyze browsing behavior on our website. To remember your settings, such as language and analyses, we need to use cookies. These are used solely to track browsing behavior on our website. For this, we use Microsoft Clarity. We use this solely to improve the structure and information on our website.
Social Media and Visual Material
The Association has a strict social media policy described below. All visual material, such as photos and videos, posted on the website or social media can only be used with the explicit, informed, and voluntary consent of the depicted swimmer. If the swimmer is a minor, additional consent from a parent or legal guardian is required.
Privacy Rules and Social Media Use by Swimmers
Swimmers must adhere to the privacy rules of the Association when using social media. Sharing visual material and information about other swimmers without their consent is not permitted. The Association reserves the right to summon swimmers to remove photos or other content if they violate the privacy rules. If a swimmer does not comply with such a request, consequences may be imposed.
Purpose of Processing
The visual material is used solely for promotional purposes of the Association, such as sharing activities and events on our website and social media.
Rights of Data Subjects
Swimmers and parents have the right to:
- Access the processed personal data.
- Request correction or deletion of the personal data.
- Withdraw the given consent at any time, without affecting the lawfulness of the processing based on the consent before its withdrawal.
Objection
Swimmers and parents can object to the use of visual material or information at any time by sending an email to our webmaster at webmaster@ztorpedo.nl. We will then take action to comply with the request as soon as possible.
Retention Period
The visual material is retained as long as it is relevant for the purposes described above and will then be safely deleted.
Security
We take appropriate technical and organizational measures to protect personal data against loss or any form of unlawful processing.
Links to Other Websites
The website may contain links to other websites. This privacy statement only applies to the websites of the Association. Other websites may have their own privacy policies. The Association advises you to always consult the respective privacy statement of those websites before using them.
Amendment of the Privacy Policy
The Association adjusts its privacy policy from time to time to keep it up-to-date. The most recent version of our privacy statement will always be included on the websites. The Association therefore advises you to regularly consult the privacy statement. In case of significant changes, the Association will do everything possible to inform you by email and via the website.
